You start by finding out which Visio you actually have, because the web app included with many work Microsoft 365 plans, the Visio Plan 1 and Plan 2 subscriptions, and the Windows desktop editions do not offer the same features. Then you build a basic flowchart with connectors that stay attached, label every step and decision, and give the whole drawing one consistent look.
From there you sort the steps into swimlanes by team, draw the team's org chart from an Excel table, add pages, containers and links, and share the file for comments and co-authoring.
